We specialise in the recruitment of high quality candidates in the charity sector. We have an excellent opportunity for an Office Administrator to join our client in Northfleet.

Your main responsibilities are to assist the office with all administrative duties and to be forward thinking to organise and communicate what is needed for the client sites and office.

Our client is looking for someone who can cover the office during all school holidays periods and therefore annual leave must be taken outside of this time.

Office Administrator’s Core Duties

  • To filter phone calls through to office staff
  • Meet and greet visitors to the office
  • General administrative duties (fling, typing, franking post, laminating)
  • Liaise with all sites, obtaining gas/electricity readings on allocated dates and submitting to energy suppliers whilst keeping the diary and spreadsheet updated on when new suppliers are to take over and flagging in advance of when to give notice
  • Manage health and safety for the sites and ensure all landlord checks are inputted into the diary and booked with the appropriate supplier (includes booking annual PAT testing and servicing of fire equipment, gas and electrical checks, fire alarm monitoring checks etc.)
  • Co-ordinating shared office calendar, inputting meetings and reminders, training, events, appointments, staff whereabouts, and other relevant information
  • Responsible for booking MOT and service for company vehicles and ensure annual reminders are on the calendar
  • Update all site notice boards/policy folders at all sites with revised documents
  • Distribute petty cash to sites/collect paperwork or drop off ad hoc items to sites
  • Assist Office Manager regarding the preparation and organisation of meetings
  • Take minutes of staff meetings and distribute them in a timely manner
  • Attend meetings and networking events if required
  • Assist with admin packs for awareness and networking events
  • Mail shot to companies and via email to advertise upcoming events
  • Liaise and negotiate with contractors regarding potential agreements/terms and conditions of contracts
  • Ordering of supplies and stationary (inks, recycling bags etc.)
  • Ensuring the office if manned full time by either manager during annual leave and sickness absence


Office Administrator’s Skills and Experience

  • Must have office experience in a similar role
  • Be able to manage, a sometimes, stressful environment with the ability to work from their own initiative
