We specialise in the recruitment of high quality candidates in the Legal sector. We have an excellent opportunity for a Legal Secretary / Float Secretary in the Employment team of a growing solicitor’s firm. The role is to provide strong secretarial and administrative support to the Employment Department and all Fee Earners of the Firm.

Monday - Friday, 8:30 am - 5:00 pm with an hour for lunch

Legal Secretary / Float Secretary’s Core Duties

  • To support fee earners with administrative processes along with diary commitments
  • To prepare correspondence through audio typing and word processing
  • To deal with routine post, drafting replies as appropriate and directed by fee earners
  • To administer filing including opening, closing storage and retrieval of client files
  • Process client billing on files in accordance with Fee Earning instructions
  • Resolve debit or credit balances on files enabling them to be closed
  • To ensure protocols are in place to protect the confidentiality of both the firm and clients
  • To prepare mail and enclosures for dispatch
  • To ensure that all necessary photocopying and scanning is carried out
  • General copying of correspondence and notes
  • To provide support to other secretaries as required
  • To attend to clients providing support in a professional and friendly manner
  • To deal with clients’ queries and refer matters to the fee earner as necessary
  • To undertake specific training identified as necessary to update skills and performance

Legal Secretary / Float Secretary’s Skills required

  • To be fully trained in secretarial and administrative practices
  • To have excellent and accurate word-processing and audio typing skills
  • Experience of working as a secretary or in a legal office as a senior administrator
  • To have high levels of customer/client service skills proven in a similar role
  • Experience of working with Case Management systems (desirable)
  • An understanding of digital dictation systems (desirable)
  • The ability to use own initiative and make basic decisions in relation to client matter
  • Good mathematical skills
  • The ability to work effectively under pressure.
  • Effective communication skills both verbally and in writing
  • Strong organisational skills with the ability to prioritise and reallocate work accordingly.
