DUTIES & RESPONSIBILITIES:
4.Particular to the post
Human Resources Administration
4.1To act as a first point of contact for all staff requiring assistance with HR issues & enquiries.
4.2To support the Head of Continuous Professional Development (CPD) in administrative tasks relating to CPD and to maintain staff CPD records.
4.3To liaise with LEA Payroll & HR staff to ensure the timely & accurate provision of information.
4.4Maintain absolute confidentiality with sensitive materials & an awareness of the need for complete discretion in handling Human Resources, payroll & financial issues.
4.5To assist in the research & preparation of schedules, lists & specifications, communicating pertinent information to Campus managers, Governors & other stakeholders as required.
4.6To build & index paper based & electronic files.
4.7To ensure the coherence of permanent records, chasing colleagues & external contacts for updated information where necessary.
4.8To assist with the maintenance of the campus HR files, paying particular attention to confidentiality & the importance of security checks, references, probation reviews & doctors certificates etc.
4.9To maintain & update the campus HR database (Vizual HR Manager) generating various reports as requested by Programme Heads & the Directorate within the scope of confidentiality protocols.
4.10To complete sickness & absence reports for all campus staff for weekly submission to the LEA.
4.11To prepare, submit & file council reports, such as PLASC & ethnic monitoring, as required.
4.12To carry out quality day-to-day administrative duties to a high standard including: reprographics, message taking & forwarding, proof reading, minute taking etc.
4.13Quality word processing with particular attention to consistency & detail in all documentation.
4.14To maintain accurate records as required using Excel spreadsheets to an advanced standard.
4.15To maintain updated manuals etc of local and national condition of service.
4.16To book rooms, & arrange refreshments where appropriate.
Recruitment
4.17Responsibility for the accurate administration of the job application process & response.
4.18To work closely with the HR Manager to place & design recruitment adverts for vacancies.
4.19Preparation & distribution of Campus & LEA recruitment pack materials ensuring accurate & accessible records are kept & statistics collated for analysis & report generation.
4.20Assisting with the scheduling & organising short listing processes & interviews for new posts, greeting candidates, touring the campus & pre-interview tasks or tests.
4.21Filing & checking weekly timesheets for agency staff once authorised by the HR Manager
Payroll
4.22To calculate & project total staff salaries for the campus one, two & three years ahead, projecting estimated new staff & all increment rises, presenting this information to the HR Manager for checking.
4.23Filing copies of new starter forms once processed with the LEA payroll department & assisting with new staff induction & support.
4.24To liaise with LEA Payroll staff to ensure the timely & accurate processing of contract changes, staff contact details, payroll adjustments, allowance, annual increments & scale changes after Directorate approval.
Cover system
4.25To answer & record any staff absences each day starting at 8am from the staff absence line or email.
4.26Email or phone notifications to staff covering classes & liaise with them on registration.
4.27Design, print & place any signage needed for classroom doors around the campus if classes cannot be covered & are cancelled or specific instructions are left by the absent teacher.
4.28Liaise with the student services team and/or students directly as needed.
4.29To monitor & report on the cover system.
4.30Perform any updates or changes to the cover rota once approved by the Deputy Director
