Document Control Specialist and Admin Support

Job Location: London

Duration: Temp to Perm

Our client is currently recruiting for Document Controller & Admin Support to provide technical and strategic advice in relation to offshore and onshore environmental issues.

Key Responsibilities and Activities

Key responsibilities is to support the Environment Manager and will include, but not be restricted to:

•Determine project data and document gathering requirements and methods, and document these in the company's Document Control Process document.

•Assist the project teams implement the company Document Control Process across the projects.

•Monitor all incoming post, faxes and e-mail and responding when required

•Assisting the team as necessary tasks as mailing letters, distributing documents etc.

•Maintain an efficient filing system

•Audit the project teams against the company's Document Control Process and ensure accuracy in storage and ease of retrieval of all project paper and electronic documents.

•Provide for the efficient and cost effective management of files and documents including maintenance and storage as well as rapid search and retrieval.

•Identify regulatory requirements associated with document control and storage and ensure these are captured in the company's Document Control Process.

•Develop and implement tools and techniques, as needed, for the continuous improvement of the company's Document Control Process

Qualifications Required
Key Skills, Knowledge and Experience

•Strong PC Skills with strong working knowledge of Word, Excel & Power point.

•Experience with working on document management system. Experience with Microsoft SharePoint will be an advantage.

•Proficient in recognized electronic document control tool, systems and programs.

•Strong communication, report writing and presentation skills

•Experience of dealing with confidential material in a professional manner

•A mature outlook and a consistent approach to work

•Commitment and adherence to deadlines and the ability to work under pressure.

•Flexible, willing and proactive approach is absolutely essential.

•Document management experience on engineering, construction or consulting projects.

•Multifunctional Behaviour - capable of maintaining positive working relationships and effective communication throughout the organization.

•Interpersonal Skills - Good communication skills interacting with Construction project team, contractors, and other company functional groups.
